This is a workforce compliance system case study: a custom operations and compliance platform we built end to end for a UK field-services contractor. The client is anonymised here while we confirm sign-off to publish their name. The work, the approach, and the results are exactly as delivered.

The challenge

A growing field operations team was running compliance on paper forms and spreadsheets. Daily vehicle and plant checks, weekly timesheets, and hand-arm vibration exposure were all tracked by hand across multiple workers and live sites. The problems compounded:

  • No cross-site visibility, so managers could not see compliance at a glance.
  • Weekly hours lost to manual admin, re-keying paper into spreadsheets.
  • Duplicated effort and a real compliance risk when records went missing or arrived late.

The team also needed the system to be genuinely simple to use, including for field staff and older operatives who were less comfortable with complex software. A powerful tool nobody used would have solved nothing.

The solution

We built one structured platform with separate employee and employer interfaces, designed around ease of use first. Field staff complete checks, logs, and timesheets on site in a few taps. Managers get real-time dashboards, compliance tracking, review-and-return workflows, and structured exports from one central system.

Clear navigation, minimal friction, and mobile-friendly forms meant the people on site could actually use it, which is what makes a compliance system work.

The results

  • A fully paperless workflow replacing fragmented forms and spreadsheets.
  • Eight core modules covering the operation, from vehicle checks to timesheets to exposure records.
  • Automated HAVS alerts tracking hand-arm vibration exposure per worker.
  • Timesheet and inspection approvals with clear review-and-return status.
  • An exportable audit trail, so producing records for an audit is a one-click export.

Compliance data became structured, traceable, and available in real time. Admin time came down, field submissions became easier and more consistent, and managers gained the visibility they needed to make faster decisions across sites.

Key learnings

Two things carried the project. First, ease of use is not a nice-to-have in field software; it is the difference between a system that gets used and one that gets worked around. Second, a custom build earns its place when the process is specific and the stakes are compliance. A generic tool would have flattened the parts of this operation that mattered most.
